This HNWF with a family office located in Sydney east, has built their reputation within the property and investments industry. As with many operators in the private investment space, this leader is fast-paced and dynamic in nature. With a small team and flat structure, the close-knit culture provides for autonomy and a variety of responsibilities. Offering some flexibility in working arrangements, this kind and fair leader is seeking an experienced and proficient Executive/Personal Assistant for an immediate start.
About the position
Within this busy and ever-changing environment, you will provide exceptional administrative and support services to this HNWF in managing their private affairs and assisting their family office team. With a reputation for being a self-motivated team member and intuitive communicator, you are well prepared to anticipate needs and deliver on defined outcomes. Your impeccable trustworthiness, and respect for confidential matters will come to the fore in this position, as you support your leader in all of their business and personal concerns.
Through your previous experience working with entrepreneurs or HNWIs, you will be able to calmly and tactfully navigate the various demands of supporting this in-demand and energetic executive. Your innate skills in filling the gaps on details, needs and priorities will be appreciated by your leader, as will your ability to self-direct and make decisions in line with company goals. Your highly organised and detail-oriented personality will see you easily keep pace with shifting priorities, and smoothly pivoting your focus with minimal disruption to the tasks at hand.
Agile in mindset and approach, your ability to work within a small team and operate self-sufficiently will be highly valued. Your documented experience in financial management processes will confirm your suitability for this role, allowing you to hit the ground running in this varied and challenging position.
Position responsibilities
reviewing legal documentation such as contracts and agreements
managing calendars and appointments for your leader, their family members and office team
providing quality and timely administrative support including digital filing, data entry and printing
performing financial management processes such as expense claims, reporting, raising invoices, and reconciling accounts
supporting meetings through preparing minutes, briefing notes, agendas and reporting
coordinating inbound and outbound correspondence in a professional and timely manner, including preparation of daily briefs and responses as required
coordinating all aspects of travel arrangements - complex for both business and private
managing events including meetings, social and personal functions
attending meetings both in person and via video (overseas timezones)
overseeing supplies and equipment ordering and inventory
assisting with various personal matters such as making appointments, restaurant bookings and other errands as needed

Preferred skills and experience
minimum 10 years’ experience supporting entrepreneurial, HNWI or C-Suite executive/s preferably Founder/s
advanced proficiency in Microsoft Office, particularly Word, Excel, Outlook and Powerpoint
IT savvy a must (all platforms)
