About the position

Your resilience will shine in this role as you easily switch from supporting your leader, to aiding the Executive Manager, and then assisting clients or helping colleagues to succeed. This environment will also call upon your flexibility and commitment to sometimes work outside of hours, travel at short notice, and support your leader at her location in outer south-eastern Melbourne.

Position responsibilities
providing quality and timely administrative support to the Founding Director in the first instance, and the Executive Manager as needed
managing your leaders’ diary appointments and logistics, to proactively schedule, organise, and prioritise meetings
assisting the Founding Director with personal tasks such as family calendar management, banking responsibilities, and sourcing gifts
coordinating all aspects of domestic and international travel arrangements
preparing meeting documentation, Powerpoint presentations and various reports
assisting the Executive Manager with strategic projects, client relationships and program delivery
building positive relationships with internal and external stakeholders to manage enquiries and provide high quality advice
performing project management tasks for clients, events and a range of programs
acting as a key liaison point to support effective communication between team members, clients and the executive
drafting and proofreading high-quality email correspondence, proposals and briefs in a timely manner
providing financial management support with expense claims, reporting, and reconciliations
allocating, tracking and managing tasks within set timeframes
undertaking domestic and international travel, at times on short notice
managing any reasonable additional ad-hoc duties as requested

Preferred skills and experience
minimum 5 years’ experience working within in a similar role supporting C-suite executives or entrepreneurs
proficiency in Microsoft Office and G-suite software
experience in social media management, CMS, and email marketing platforms will be highly regarded
